Erasmus for study purposes (outgoing mobility)

(SMS - KA131 and KA171 actions)

Students of the University for Foreigners of Perugia enrolled in a bachelor's degree, master's degree, or PhD program can spend a study period at a European university with which the University has signed an inter-institutional Erasmus agreement, thanks to the Erasmus+ SMS (Student Mobility for Studies) action of the Erasmus+ Program. Students on mobility receive financial support and have the opportunity to attend courses and use the facilities available at the host institution without paying additional tuition fees.

Erasmus+ SMS Mobility: who, where, how, and when

 Access to mobility programs requires enrollment — for the relevant academic year during which the mobility will take place — in one of the following cycles of study at the University for Foreigners:

  • Bachelor’s degree course
  • Master’s degree course
  • Doctoral program
  • Master’s program

The selection calls specify exactly the categories of eligible applicants, indicating any exclusions or limitations.

There are two distinct types of mobility that can theoretically be activated:

  1. The so-called “Long mobility” Erasmus mobility has a minimum duration of 2 months (60 days) and a maximum of 12 months (360 days). At the University for Foreigners of Perugia, this type is accessible to all categories of recipients.
  2. The so-called “Short mobility” Erasmus mobility has a minimum duration of 5 days and a maximum duration of 30 days. At the University for Foreigners of Perugia, this type is normally reserved only for PhD students.

The selection calls specify whether both or only one of the described types can actually be activated.

The activities that you will be able to carry out during your mobility must be strictly connected to the learning objectives of your course of study. Within these limits, and in close accordance with what is specified in your Learning Agreement, during your Erasmus mobility for study purposes at the host university, you will have the opportunity to:

  • attend courses and take the exams and assessments required by the study plan of the host university
  • carry out activities aimed at writing your thesis
  • carry out research activities necessary for writing your doctoral thesis
  • undertake a combined continuous mobility (study + internship and/or thesis research). In this case, the activities must be complementary to your study activities and supervised by the host university

It is possible that, in order to access the above-mentioned activities, the host university may require you to meet certain language requirements.

In view of the importance of engaging in a quality international mobility experience aimed at carrying out activities at the host university, during the mobility period you will not be allowed, under penalty of cancellation of the mobility and consequent reimbursement of the mobility grant, to:

  • attend courses and take exams at the University for Foreigners of Perugia
  • graduate at the University for Foreigners of Perugia

The countries where it is possible to carry out a mobility period and the specific destination universities are specifically identified in each Selection Call or Notice and in the related ProErasmus application. It is not possible to carry out mobility in different countries or at other destinations.

Currently, for the Calls and Notices related to action KA131, the possible destination countries are:

  • Programme Countries, which include: the Member States of the European Union, the countries of the European Economic Area (Iceland, Liechtenstein, Norway), and candidate countries for EU accession (Turkey, Serbia, and the Republic of North Macedonia)
  • Partner Countries, whose detailed list is available at the following link.

Instead, for the Calls and Notices related to action KA171, the current possible destination countries are:

  • Uzbekistan
  • Senegal
  • Montenegro
  • Kosovo
  • Albania

The assignment of a mobility flow is generally associated with a support grant. The amount of this grant is subject to a large number of variables (among others: travel distance, destination country, means of travel, situations of fewer opportunities), and usually consists of the sum:

  • of a main contribution from European Union funds
  • of an additional contribution from European Union funds for students in situations of "fewer opportunities"
  • of a supplementary contribution from university funds
  • of further contributions from Ministry of University and Research funds
  • of further contributions from the Umbria agency for the right to university education

A more accurate calculation of the contributions can be found in the Mobility Selection Calls, but even in these, it is not possible to determine the amount of some contributions whose funds become available only after the approval of the Call.

For general guidance, it may be helpful to know the following regarding the main contribution:

  • as a rule, the contribution from European Union funds is paid to you, in the amount of 80% of the total, upon your arrival at your destination, and settled upon your return;
  • for mobilities under KA131 (that is, the ordinary mobility instrument), the amounts for "long" type mobility can range:
    • for travel, from a minimum of €28.00 to a maximum of €1,735.00
    • for accommodation, from a minimum of €350.00 to a maximum of €400.00 per month
  • for mobilities under KA171, the amounts for "long" type mobility can range:
    • for travel, from a minimum of €28.00 to a maximum of €1,735.00
    • for accommodation, from a minimum of €700.00 to a maximum of €900.00 per month

Erasmus+ mobility opportunities under KA131 (the standard mobility instrument) are promoted by the University during different time cycles, corresponding to European funding cycles. Currently:

  • a series of mobilities have been assigned and are ongoing, and must be completed by 30 September 2026 (Call 2025)
  • the new mobilities under Call 2026 must take place between 1 June 2026 and 30 September 2027

Erasmus+ mobilities under KA171 refer to the three-year validity period of the related agreement (academic years 2024/25 - 2025/26 - 2026/27) and are promoted by individual Departments during the relevant year, in which they must be completed no later than 30 September.

Each mobility must also be coordinated with the academic calendar of the host University

What needs to be done to activate a mobility?

To assign each type of mobility, a selection process is required. To this end:

  • the University for Foreigners of Perugia publishes, for each type of mobility, a Selection Call inviting interested parties to submit their application, through the ProErasmus platform, by a set deadline
  • a committee evaluates the applications and draws up a merit ranking, which is then approved by the Rector with an official provision assigning the requested destinations

Only if the assignments are lower than the available funds, the University for Foreigners usually publishes a Subsidiary Notice, which takes into account the order in which eligible applications were submitted, resulting in the immediate assignment of the mobility flow and the related grant, according to the available funds.

The first thing to do is to identify your mobility destination from those offered by the University. This is an activity you should carry out well in advance of the application deadline set by the Call for Applications, and you can usefully start it even before the Call is published.

When doing this, you must pay close attention to check:

  • that you meet the language requirements set by the chosen University
  • that your university career status is consistent with the requirements of the host University
  • that the academic offering of the host University is in line with the learning objectives of your degree program, and so that you are actually able to select appropriate activities.

The necessary information is:

  • usually available on the websites of international universities, in the section dedicated to Erasmus+ incoming mobility
  • otherwise obtainable through correspondence with the Erasmus contacts at the international university, whose details are usually available on the ProErasmus platform or on the website of the international university.

 

Each international university sets language requirements that incoming students must meet in order to participate in a mobility program. Therefore, you should check (on the host university’s website or by contacting their Erasmus representative):

  • what the language of instruction is at the destination university
  • what the minimum required level is
  • whether you are required to provide an official certificate or any other proof or evidence of language proficiency

The university you have chosen may ask you, during theapplicationprocess, toprovide:

  1. a certification certificate, possibly specifying which certifying bodies are accepted
  2. OLS test: This is a language proficiency test based on a community platform called Online Language Support. To access it, candidates must register independently on the EU ACADEMY – OLS portal (link); after completing the test, you will receive a pdf certificate indicating the level achieved. It will therefore be sufficient to send the OLS test result to the international counterpart
  3. proficiency form: This is a document issued by the University for Foreigners of Perugia, after a test with the professor and/or the language instructor (currently available in English and Spanish). You will need to request it by email from the Erasmus staff, specifying:
    1. the language of instruction for which certification is required
    2. the minimum language level required by the host university
    3. the deadline set by the host university for sending the certification

Before taking part in the selection process, you must have already finalized your learning agreement. In fact, a separate learning agreement is required for each of the mobility destinations you are interested in.

To create your learning agreement, you must use the ProErasmus application, which will ask you to enter the following mandatory information in successive steps:

  • The reasons, related to your study path, that lead you to choose that destination
  • What language skills you have compared to those required by the host university
  • In which semester you wish to carry out your mobility
  • For how many months (or days, in the case of short mobilities) you wish to carry out the mobility
  • The list of courses you intend to take at the host university, indicating the corresponding credits
  • The hyperlink – URL – to the web pages of the chosen university where you can find descriptions of the course offerings and other elements useful for evaluating the proposed learning agreement.

Your learning agreement will be reviewed by your mobility tutor, who – in compliance with the deadlines indicated in the Call – may:

  1. approve it, allowing you to proceed with submitting your application for that specific destination
  2. request modifications
  3. reject it with justification, in which case you may prepare a new one if you wish

Remember that for each destination, a separate learning agreement validated by your tutor is required

You can submit an application for a Call or a Mobility Notice through the ProErasmus platform, which you can access using your university institutional credentials.

When you enter the dedicated area of ProErasmus:

  • you can select one or more of the study proposals approved by your tutor, authorizing the submission of your application
  • you will receive an email confirming the successful completion of the process
  • you will finally receive an email when the selection process is concluded, informing you of the outcome for your application

What should I do after being assigned mobility?

The Erasmus and International Mobility Service will, immediately after mobility has been assigned to you, notify the host university (known as the "nomination"). In this way, the university where you will carry out your mobility will receive all the necessary information (your personal details, the mobility period, etc.).

At this point:

  • The more organized universities will promptly send you an email providing the necessary instructions to help you decide whether to accept or decline your mobility placement (the so-called "application" procedure), which usually involves a candidacy form, the request for an identity document, and other paperwork. However, the most important part of the application is the Learning Agreement, which we will discuss in the following paragraph.
  • However, you may not receive anything. In this case, you will need to seek information from the host university about the "application" procedure and follow up accordingly.

The usual outcome of the application procedure is receiving a letter of acceptance. However, it may happen that, due to insufficient documentation, failure to meet deadlines, or simply due to unforeseen difficulties at the host university, the application procedure is unsuccessful. If this happens through no fault of your own, you are entitled to a new destination, but only if you had already proposed one and it was validated by the commission.

After you have been assigned a mobility, you must ensure that your training project is shared and accepted by the host university through the completion of a Learning Agreement, which defines the study plan to be undertaken abroad, guaranteeing the recognition of the ECTS credits earned. This may:

  • generally be in digital form, managed through the OLA (Online Learning Agreement) platform;
  • exceptionally be in paper form (if the university you have chosen does not have access to OLA).

To do this, you need to:

  1. once again make sure that the course offerings at the university you have chosen still correspond to the activities you indicated in the validated training project. If any changes have occurred, you may make the necessary adjustments to the Learning Agreement, while remaining true to the original project;
  2. download and fill out the paper form that will be made available to you by ProErasmus;
  3. then upload the completed form to ProErasmus, authorizing its submission to your mobility tutor and to the Rector’s delegate for the Erasmus+ program and international mobility;
  4. wait to be notified by email about the outcome of the document evaluation, which, if positive, will alternatively allow you to:
    1. if the host institution utilizes OLA, access the platform and transfer the contents of your approved Learning Agreement proposal;
    2. otherwise, sign your approved Learning Agreement proposal, send it to the destination university so that the appropriate person can sign it and then send it back to the Erasmus and International Mobility Service at erasmus@unistrapg.it

The Learning Agreement is the most important element in the acceptance procedure at the university that will be hosting you, but signing it does not replace the acceptance letter, which remains essential for you to proceed with signing the financial agreement with the University for Foreigners of Perugia in order to receive the mobility grant.

Once the Learning Agreement has been completed, you will have access, through the ProErasmus application, to fill out the 'mobility financial agreement', which is essential for you to receive the mobility grant.

You will then need to:

  1. log in to ProErasmus in Phase D "Mobility Management", and from there go to Function C "financial agreement"
  2. enter in the guided procedure your relevant information (type of travel – ordinary or green – and bank details), activating the submission to the Erasmus and International Mobility Service
  3. wait for an email notification confirming the formal validation of the agreement
  4. download, sign, and re-upload the agreement in the procedure, activating the submission to the University’s legal representative for signature
  5. wait for an email notification confirming the finalization of the financial agreement

Once the Learning Agreement and financial agreement have been finalized, it is in your interest to proceed as soon as possible to:

  • check the healthcare services abroad, taking out insurance if necessary;
  • check the entry and registration procedures in the host country (e.g., entry visa for non-EU students);
  • look for accommodation (possibly using the services offered by the host university);
  • purchase your travel ticket.

Please note that usually each university organizes an orientation and welcome event for Erasmus+ students at the beginning of the semester. Make sure that your arrival at your destination is in good time to take part in this or any other event communicated to you by the host university.

How should I manage the mobility period?

Upon arrival at the host University, it is your responsibility to immediately introduce yourself for a first meeting with the representatives of the host Institution (usually at the Erasmus office and/or the international relations office) in order to obtain the Certificate of Arrival and Registration.

The date on the certificate is the one from which the calculation of the scholarship that will be paid to you will start. For this purpose, you must promptly send by email to erasmus@unistrapg.it a scanned copy of the certificate.

It may happen that during your mobility, for various reasons, you find it necessary to make changes to your Learning Agreement. This is only possible within the first 30 days following the start date of your mobility.

To do this you must:

  1. make informal contact with your mobility tutor as well as with the Erasmus coordinator of the host university, to ensure that your initiative is appropriate;
  2. download the paper form available on ProErasmus and downloadable at the bottom of the page (so-called "Learning Agreement during the mobility");
  3. fill out the form, sign it, scan it and upload it to ProErasmus using the dedicated function, authorizing it to be sent to your mobility tutor and to the Rector's Delegate for the Erasmus+ and international mobility program;
  4. wait to be notified by e-mail of the outcome of the document assessment, which, if positive, will alternatively allow you to:
    1. if the host university uses OLA, access the platform and transpose the contents of your approved Learning Agreement During the Mobility proposal;
    2. otherwise, sign your approved Learning Agreement During the Mobility proposal, send it to the host university so that it can be signed by the relevant authority, and then sent back to the Erasmus and international mobility service at erasmus@unistrapg.it

Learning Agreement During the Mobility

The extension must be requested at least 30 days before the original end date. Only in the case of a second extension, the advance notice is reduced to 15 days.

To do this, you must:

  • make informal contact with your mobility tutor as well as the Erasmus contact at the host University, to ensure the appropriateness of your request
  • download the printed form available in ProErasmus and downloadable at the bottom of the page ("extension request")
  • fill out the form, sign it, scan it, and upload it to ProErasmus via the dedicated function, authorizing its submission to your mobility tutor and the Rector’s delegate for the Erasmus+ and international mobility program;
  • wait for the outcome of the document evaluation to be communicated to you by email. If approved, you will then be able to:
    • if the host University uses OLA, access the platform and transfer the content of your approved Learning Agreement During the Mobility proposal;
    • otherwise, sign your approved Learning Agreement During the Mobility proposal, sending it to the host University so that the relevant personnel can sign it, and have it sent back to the Erasmus and International Mobility Service at erasmus@unistrapg.it

Extension request

At the end of your mobility period, you will need to:

  • request and obtain the Final Mobility Certificate before your departure. Without this certificate, it will not be possible to validate your mobility and you will have to return the amounts received. This document:
    • must be signed and, if possible, stamped by the mobility coordinator of the host institution;
    • must indicate the actual start and end dates of the mobility period.
  • request and obtain the Transcript of Records before your departure. This is the document through which the host University certifies the activities you carried out during your mobility. Without this certificate, it will not be possible to recognize the activities you completed.
  • proceed with the completion of the online questionnaire called “EU SURVEY”. On the scheduled day of your departure, you will receive a notification from the Beneficiary Module platform containing the link to the form. Once you have filled it out, you will receive a pdf copy of the questionnaire by email.

These documents must be uploaded to the ProErasmus application, in the section dedicated to the management and reporting of mobility (Function D).

Only if your host University is unable to provide you with its documents in paper form before your departure, can you obtain them afterwards, including through direct email submission to the Erasmus and International Mobility Service at the University for Foreigners of Perugia, by email to erasmus@unistrapg.it.

Final Mobility Certificate

PLEASE NOTE: if the selection call provides for reimbursement of travel days, you will be required to send the following form by email to erasmus@unistrapg.it, attaching copies of your travel receipts and a copy of an identity document.

Travel Declaration

The Transcript of Records issued by the host university is the prerequisite for proceeding with the request for validation of the activities carried out during the mobility period. To this end, you must:

  • download, complete, sign, and send via email to erasmus@unistrapg.it the form below, which will be submitted for evaluation to the Rector's delegate for the Erasmus+ program and international mobility
  • wait for communication regarding the outcome of the evaluation by the delegate, which will result—if positive—in the recording of the validated activities in your student record

Useful information and links

Each Department appoints for every Course a reference lecturer with the title of “mobility tutor,” who is responsible for:

  • coordinating, within the relevant Course, activities related to mobility programs
  • providing guidance on the educational and training offerings of the host institutions
  • assisting in the preparation of the plan of educational or training activities to be carried out at the host institution

List of mobility tutors

Normally, the staff of the Erasmus and International Mobility Service, in collaboration with the rector's delegate for mobility, organizes:

  1. a seminar mainly for first-year students, focused on presenting the international mobility opportunities promoted by the University for Foreigners of Perugia
  2. seminars dedicated to the presentation of mobility calls
  3. an orientation seminar for those who have been awarded Erasmus mobility grants, during which all the steps to correctly complete the application procedures and approval of the OLA/Learning Agreement are explained
  4. a pre-departure orientation seminar (check), during which all the steps necessary to properly organize and manage the procedures related to mobility, as well as the use of the relevant forms, are explained

The dates of the seminars are communicated to students by e-mail.

Online Linguistic Support (OLS) is a tool designed to help participants in the Erasmus+ program improve their command of the language they will use to study abroad, so that they can make the most of this experience.

Participants who wish to improve their language skills can take online language courses before and during their stay abroad.

Access to the language course includes a wide variety of interactive and tailored activities. Participants can take language courses in any of the languages available through the linguistic support service, with no limitations on the number of languages or study units.
